As a well-established organisation, The Reiki Guild provides information and resources to both the general public and to Reiki practitioners. We encourage Reiki practitioners to become members. Our members agree to a code of practice which is a guarantee to the public that they will receive the highest standard of attention and care. The Reiki Guild is a member of The Reiki Council, the lead body for Reiki in the UK.

Privacy Policy 2018

We take the privacy of your data seriously and aim to conform with the prevailing data protection laws of the United Kingdom.

1 What data do we collect and how do we use it?

In order to provide membership and community services, we collect personal data for members such as:
• Name
• Date of birth
• Gender
• Address
• Email address
• Telephone number
• Business name
• Qualifications
• Dietary needs if disclosed specifically for events
• Photo for the purposes of creating on-line profile
• Payment information – payment card details are not stored on our systems,
• Data relating to any complaints received and action taken.
• Requests for national practitioner/teaching verifications relating to Reiki and related data
• Requests for verification for independent regulators
• Members may from time to time disclose special categories of information such as health or personal beliefs

Members wishing to have their contact and practice details shared on the website (currently Registered Practitioners and Registered Teachers) are understood to agree to this by applying for these memberships. Should you wish not to have your business details and practice information shared it is your responsibility to ensure that your profile indicates this.

If you object to the collection, sharing and use of your personal data we may be unable to provide you with our products and services. If you unsubscribe from our email communication system provider we will be unable to keep you up to date with news and information.

In regard to former members we hold

• Personal data relating to membership as detailed above

This data is destroyed 6 years from the date the last period of membership taken out with us expires not including any email address subscribed on an external email communication supplier which members and non-members are able to unsubscribe from at any time. Data relating to complaints will be kept according to the prevailing advice of our insurers.

In regard to non-members we may collect and hold

• Email address if you subscribe to our emailing lists. This is held on an external email communication supplier
which you are able to unsubscribe from at any time
• Data relating to attendance at events or requests for distant reiki in order to provide a service to you
• Data relating to complaints or enquiries from us in order to process and record these actions. This data will
be kept according to the prevailing advice of our insurers.
• Incomplete applications to join on-line. This data will be destroyed 1 year from data of last addition to i
ncomplete application
• Contact details submitted by email or telephone in relation to a potential application or enquiry will be
destroyed
• Data held on our systems relating to attendance at events or requests for distant reiki or similar contact will
be destroyed one year after the last attendance or request for distant reiki or similar contact
• Data relating to acting as a referee or testimonial for a prospective member. This data will be kept on file for
the same length of time as the relating member’s records
• Data relating to third parties with whom we are affiliated such as insurance broker, relevant regulators and
other suppliers of services relating to the provision of member services and products is kept in accordance
with any agreement between us and these third parties.

Please note:

We will never share your data with third parties without your permission unless required to do so by law. Our administration is provided by an independent administrator who is subject to our data protection policies.
If you take out insurance via our affinity scheme insurance brokers we do require you to read the broker’s fair processing agreement which is on our website next to the insurance form.

3. Marketing

We send members and opted in former members and non-members information regarding events and news and offers. You may opt out of our email communication system at any point but we will not then be able to send further information apart from renewal or at your initiation through our general email.
We never share your data for marketing purposes with third parties. We may pass on information on third party events or offers that are congruent with our purpose and our members’ interests but this will come via our own email communication system.

4. Your rights

These rights are known as Individual Rights under the Data Protection Act 2018. The following list details these rights:

• The right to be informed about the personal data being processed;
• The right of access to your personal data;
• The right to object to the processing of your personal data;
• The right to restrict the processing of your personal data;
• The right to rectification of your personal data;
• The right to erasure of your personal data;
• The right to data portability (to receive an electronic copy of your personal data);
• Rights relating to automated decision making including profiling.

The retaining of data is necessary where required for contractual, legal or regulatory purposes.
In rare instances we may need to retain your data for longer, for example if we are representing you or defending ourselves in a legal dispute or as required by law or where evidence exists that a future claim may occur.

We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate
